Getting Hitched Expo- Acknowledgements and Terms & Conditions

On making payment of the exhibitor fees and ticking the terms and conditions box on the exhibitor application form it is deemed that the exhibitor has read and accepted the following acknowledgements and terms & conditions as set out below.

Definitions:
Exhibitor site: the area allocated by the expo organiser to an exhibitor
Exhibitor: a registered business that has secured a site by agreeing the acknowledgement and terms & conditions and paid the exhibitor fee.
Exhibitor Fee: money paid by the exhibitor to secure a site.
Expo: refers to the Getting Hitched Expo/Twilight Getting Hitched Expo

Acknowledgements:
1. Organisation of the expo will be carried out by the JC Entertainment & Events on behalf of the Lions Club of Wyoming-East Gosford Centennial Inc.
2. The expos host is the Lions Club of Wyoming-East Gosford Centennial Inc.
3. No contractual or legal relationship exists between the expo organiser or individual member of that committee and any exhibitor.
4. The Lions Club of Wyoming-East Gosford Centennial Inc and JC Entertainment and Events specifically exclude, to the full extent permitted by law any liability for personal injury or loss, property damage, legal liability and financial and/or consequential loss that in anyway arises from the exhibitor’s participation in the expo or from cancellation of the expo.
5. The expo organisers make no representations or warranties in relation to the expo.
6. The Lions Club of Wyoming-East Gosford Centennial Inc and the expo organisers will not be in any way responsible for any loss suffered by an exhibitor including but not limited to theft, fire, riot, flood, storm etc. or for personal injury.
7. In the event that the expo organisers have to cancel the event all monies will be refunded. The expo committee reserves the right to postpone or cancel the expo if required to do so.
Terms & Conditions:
8. Payment of exhibitor fee indicates the exhibitor’s intention to attend the Getting Hitched expo. No refund will be given for cancellations by the exhibitor.

9. The exhibitor must:
a. Display information and merchandise for the business name and services entered on the original exhibitor’s expo application form.
b. Not display or handout material, names or details for other businesses not attending the expo.
c. Set up their sites between 6.00am and 10.00am on the morning of the expo, ready for the 11am start.
d. Acknowledge that failure to complete setup of display by the set times is a breach of the terms and conditions and may result in loss of site space for exhibitor and no refund will be issued
e. Ensure that all materials, display items, merchandise, equipment and other property of the exhibitor remains within the designated site area.
f. Not commence dismantling/bump out of their site until 15 minutes after the closure of the event to ensure the safety of both exhibitors and the public.
g. Adhere to the 2m height restrictions for their displays as our expos are open plan. Please contact the organisers if you have any special requirements relating to your display.
h. Acknowledges that the committee allocates sites to the businesses and that they will not be changed unless the organisers deems it necessary to do so. Sites will be allocated at the expo information session the week prior to the expo.
i. Have a person present at their site during expo opening hours.
j. Not share their businesses allocated site with another business on the day of the expo unless you have a dual business site.
k. Keep noise levels down to ensure the success of all businesses at the expo, noise must no exceed 75 decibels at the edge of your site.
l. Not interfere with other exhibitors or exhibitor sites at the expo.
m. Public Liability is included for all exhibitors on the day of the Getting Hitched Expo, during the set up and pack up time each exhibitor is liable for any injuries or damage caused. I understand and acknowledge that if an accident or damage occurs during the event within my site that I am/or my business is liable for payment of the excess fee for Public Liability
n. Ensure that there is no damage to any part of the venue that the expo is held within. The Lions Club of Wyoming-East Gosford Centennial Inc or expo organisers are not responsible/liable for damage you or your business causes to property or the venue.
o. The expo organisers may request a copy of a business’s Public Liability insurance if the exhibitor work is deemed high risk for the set up and pack up.
p. The expos safety officer will be doing an inspection of each site. The Exhibitor must comply with all directions from the safety officer. Failure to comply will result in exhibitor being asked to leave the expo with no refund.

10. The organisers allocates sites to the businesses, and they will not be changed unless the organisers deems it necessary to do so. Site locations will be confirmed the week prior to the expo.

11. Wedding groups are not permitted to purchase a site or advertise other members not in attendance at the expos. You are permitted to display that you are a member but not advertise any other members of the group or their services at the expo.

12. Your privacy is important to us and any information collected during the application process will remain private. In completing the application, you have given us permission to contact you through the information collected. The committee will adhere to the Australian Privacy Principles contained in the Privacy Act 1988.

Applications to exhibit at the Getting Hitched Expos:
All businesses interested in attending an expo are required to complete the application form and pay the full fee at the time of booking. Those application forms are then reviewed the expo committee and successful applicants are advised that they have been successful via email. Please ensure that all details are completed on the application form. Incomplete applications will not be considered for a site. We will also reply to any unsuccessful applicants. The organisers is not required to give a reason for the unsuccessful application and will provide a full refund. Please note that all categories have a limited number of sites available to ensure success of the expo and to have a good mix of businesses represented on the day. Some of the categories fill very quickly and once a category is full unless a business cancels no more applications will be accepted. The organisers will however place your application on a wait list if a site becomes available. The expo organisers reserves the right to update, modify and amend the exhibitor acknowledgements and terms & conditions without notice. It is the exhibitor’s responsibility to thoroughly read and keep up-to-date with these acknowledgements and terms & conditions.
